What are the temporary residence permit and the karta pobytu?
The temporary residence permit (zezwolenie na pobyt czasowy) is a decision issued by the voivode that lets you legally live in Poland longer than your visa or visa-free stay allows — for up to 3 years. The karta pobytu (residence card, TRC) is the plastic card you receive after a positive decision. It confirms your identity and right of residence, and together with your passport lets you cross the border.
For workers, the most convenient option is usually the single permit for residence and work (zezwolenie na pobyt czasowy i pracę): one application legalizes both your stay and your employment.
When to apply
At the latest on the last day of your legal stay (visa validity or visa-free period). In practice: start collecting documents 2–3 months earlier. Once you submit a complete application on time, you get a stamp in your passport (or a submission confirmation) — from that moment your stay in Poland is legal until the decision, even if your visa expires.
Note: the stamp legalizes your stay only in Poland. If you leave, you need a valid visa to come back.
Where to apply
At the voivodeship office (urząd wojewódzki) for your place of residence. In most voivodeships you start the case online (the electronic module for foreigners), then attend an appointment to give fingerprints and submit original documents. Rules differ by region — check your office's website.
Documents to prepare (typical set)
- completed application + annex no. 1 filled in by your employer (for temp work: by the agency)
- valid passport + copies of all used pages
- 4 current biometric photos
- proof of health insurance (e.g. ZUS registration — you have it automatically with a Nexflow contract)
- proof of income (contract, payslips)
- proof of accommodation (rental agreement or housing confirmation)
How much it costs
- PLN 440 stamp duty for the residence-and-work permit
- PLN 100 for issuing the residence card

How long it takes
The statutory deadline is about 60 days, but in reality proceedings take from a few months to over a year, depending on the voivodeship. You can check your case status online or by phone. Never ignore requests to complete missing documents — if you miss the deadline, your application is left unexamined.
Can I work while I wait?
If you applied on time and your current documents (oświadczenie o powierzeniu pracy — declaration of entrusting work — or a work permit) are still valid, you can generally keep working for the same employer. Every case is slightly different — talk to your Nexflow coordinator before your document expires.
Ukrainian citizens — an important exception
If you have UKR status (PESEL UKR), your stay is governed by the special act: it may be legal without a residence card, and since 2025 there are simplified paths to obtain one. The rules change often — ask your coordinator for the current state.
Most common mistakes
- Applying after the deadline (your stay becomes illegal).
- Formal deficiencies not corrected within the set deadline.
- An outdated address — the office sends letters to the address in your application.
- Missing proof of stable income.
